Senior Administrator.

 

 

 

The role of the Senior Administrator is rich and varied, effectively being at the heart of the operation, providing key support to all staff who are working to provide the best possible care for their residents.

 

 

 

The home is set in a picturesque location with great views all round and the home is newly renovated with a calming and relaxed atmosphere throughout. The day to day duties of the role will include being front of house and first point of contact for most residents, workers and visitors, assisting with queries either face to face or over the telephone and directing them to the person who is best equipped to deal with it.

 

 

 

You will also be co-ordinating external contractors who are bought in to carry out repairs when needed. The role will include the maintenance and population of various databases and spreadsheets in relation to staff and residents’ hours and movements as well as handling of residents’ cash and accounts so being proficient with Microsoft Word and Excel is essential as is the need for maintaining the strictest levels of confidentiality with regards to personal information.

 

Other duties will include:

 

  • Attending quarterly meetings to take minutes
  • Photocopying, collation and distribution of documents and post for the care home and other group sites as and when required.
  • Responsibility for all petty cash on site, collection of receipts and reconciliations.
  • Maintaining a high level of accuracy when managing property accounts, bank accounts and other formal accounts
  • Establishing positive relationships with all residents and staff.
  • Collating payroll information, within deadlines to ensure all staff are paid on time, this includes maintenance of records and checking against rotas. This information will then be passed to Head Office once completed, Ensuring that the weekly report is submitted to Head Office, no later than 1300 on every Monday.
  • You will also be tasked with ensuring that all shifts are covered and that manning is always at an acceptable level, discrepancies should be reported to Head Office before you will be tasked with booking agency staff to cover shortfalls whilst avoiding double booking.

 

To be successful in this role, you will need to be able to pay very high attention to detail and respect confidentiality. Ideally you will have had experience working within a care home previously and have a knowledge of how they operate (this is desired but, not essential).

 

The successful candidate will be intrinsically motivated and determined to make the role their own and complete all duties to the highest possible standard.

 

The role requires someone who works well under pressure as they will be serving a pivotal role within the company, ensuring the effective running of all other departments.
